🎵 Exciting Update: New Lesson Cancellation & Make-Up Policy
Effective July 7th, 2025
We’re always working to make your experience at Saint Cloud School of Music better — with clearer expectations, helpful flexibility, and more control over your schedule. Our updated cancellation and make-up policy does just that, making it easier than ever to manage your lessons and stay consistent in your musical progress.
💼 Lesson Cancellations by the Student/Parent
Notice Required:
You may cancel a lesson through your Student Portal or booking form up to 3 hours before your scheduled lesson. If canceled with at least 3 hours’ notice, your lesson will be marked as “Absent, Issue Make-Up Credit”, and a make-up credit will be automatically issued.
Same-Day Cancellations (Under 3 Hours):
If a lesson is canceled less than 3 hours before the scheduled time, it will be marked as “Absent, No Make-Up Credit.” These short-notice cancellations are not eligible for rescheduling or credit.
Texting/Emailing Cancellations:
While we understand texting or emailing a cancellation may be more convenient in the moment, please note that these methods are not guaranteed to generate a make-up credit. We will always do our best to process them if we receive them in time, but the only reliable, trackable method to cancel and earn credit is through the Student Portal.
Using the portal helps our administrative team stay organized and better support all families and teachers across the school.
🗓️ Lesson Booking Guidelines
Minimum Advance Booking Time: 24 Hours
Lessons must be scheduled at least 24 hours in advance through the Student Portal. This ensures teachers have time to prepare and keeps the schedule running smoothly.
Maximum Advance Booking Time: 45 Days
You may schedule lessons up to 45 days in advance. This gives you the ability to plan ahead — especially around holidays or vacations — while still keeping calendars manageable for everyone.
Portal Booking Access:
To book a lesson in the Student Portal, a valid make-up credit is required. Credits are issued when you cancel a lesson at least 3 hours in advance.
🔁 Make-Up Lessons
Make-Up Credits:
Cancel with proper notice? Great! You’ll earn a 30-minute make-up credit that can be used within 30 days of the original lesson date. You may hold up to 8 credits at a time.
How to Book:
In the MyMusicStaff Portal, go to the “Calendar” tab, then click “Find & Book” to view available make-up lesson times. These are first-come, first-served and may vary from your usual schedule or teacher.
Can’t Find a Time With Your Teacher?
If no make-up times are available with your regular teacher, text us at 763-265-7296. We’ll do our best to coordinate a time with a substitute teacher so you can still use your credit before it expires.
Expiration:
Make-up credits expire 30 days after the original missed lesson. Booking early gives you more flexibility!
📍 Rescheduling by the School
If we need to cancel a lesson due to a teacher absence or other reason, we’ll issue a make-up credit and notify you right away. These credits follow the same 30-day expiration window and can be scheduled through the Student Portal.
🎶 Group Classes & Ensembles
- Group Classes (e.g., group piano or early childhood music) follow the same cancellation and make-up policy as individual lessons.
- Ensembles (such as Quad City Percussion) do not offer individual make-ups.
📅 Holiday Closures & Extra Lessons
We guarantee 4 lessons per month. If a holiday falls on your regular lesson day but you still receive 4 lessons that month, no make-up credit will be issued.
However — if the calendar works in your favor and you receive a 5th lesson in a month, consider it a bonus lesson, free of charge!

We know life doesn’t always go as planned. If you’re dealing with illness, emergency, or an unusual schedule conflict, please reach out. Our team is always happy to work with you when possible.
📣 Important Reminders
- Cancel at least 3 hours in advance in the Student Portal to earn a make-up credit
- Make-up credits are issued only for past canceled lessons, not for planned future absences
- Lessons must be scheduled at least 24 hours in advance, and can be booked up to 45 days out
- Use the “Calendar > Find & Book” tab in the MyMusicStaff Portal to schedule make-ups
- You may hold up to 8 active credits at a time
- Credits expire 30 days after the original missed lesson
- Make-up credits are non-transferable and non-refundable
- Holiday closures do not generate credits if 4 lessons still occur in that month
- A 5th lesson in any month is a free bonus — no action needed!
- If no make-up times are available with your teacher, text us at 763-265-7296 for assistance
- Texting or emailing cancellations is not a guaranteed method for earning a make-up credit — use the Student Portal for best results and fastest processing
